Terms and Conditions of Entry

Entry

After entering online you will receive confirmation of your entry from SI Entries via email.

Refunds & Cancellations

This is a volunteer run event and we want to be very clear about our terms and conditions before people sign up as it causes a lot of extra communication every year when we have busy working and family lives and are trying to organise the race in our spare time.

We understand that people get injured or ill and circumstances change, but the event has a lot of costs to cover to be able to run, and this is primarily a fundraising event for the school so we need to raise enough money to make it worth all the effort!

Although we often sell out incredibly quickly, we always have far fewer people on the start line even when spaces have been cancelled in good time and become available for entry, which is why the cut off for refunds is set to 2 months before the event, and the refund amount is 50%. Any closer to the date or any more of a refund and we’d have to increase the price to cover this. The majority of the money raised goes to Grindleford Primary School, with the remaining amount given in donations to the Pre School, Mountain Rescue, National Trust and Peak District National Park.

We do not allow transfers because in previous years we have had issues with people racing with incorrect contact details or emergency contact details.

We do not do deferrals with one exception – if you have become pregnant since entering the race and are unable to take part, please get in touch.

We do not have a waiting list because last year the majority of people on the waiting list did not want the place that was offered to them when it became available, so places will be available to enter to anyone as and when people cancel.

Please do not get in touch and ask us to bend these rules, it makes for an awkward communication while we try and find the nicest way to reply whilst having to say no. We’ve all had to miss races for a wide variety of reasons and it makes it unfair if we don’t treat everyone the same.

Equipment

This is a late Winter/early Spring event and entrants are required to carry clothing, emergency equipment and rations suitable for the varying, and possibly extreme, weather conditions. The minimum required kit is: full body waterproof cover, hat, gloves, map, compass, whistle and emergency food. We strongly recommend but do not insist on a warm layer. There will be spot checks at registration and at the start. In some years the race has started in beautiful conditions, but our marshals up in the more exposed locations can testify that they haven’t stayed that way! We need everyone to carry enough to keep themselves safe in the event of an injury or illness that means you can’t move and need to wait for help.

Dogs

As this event takes place during the lambing season we regret that we cannot allow any dogs on the course or at the pavilion. To avoid any problems on the day please do not bring your dog.

Age Limit

All entrants must be at least 16 years of age. All under 18’s must be accompanied by an adult and must declare their age on the entry form.

Start Times

Walkers may start at any time between 7am and 9am (registration will be open from 7am onwards). Please do not enter as a walker if you intend to run the route (even if you are a slower runner) because the checkpoints and food stations will not be open and it makes it difficult to track people. If you think you will complete the route in 6 hours or less, you should be classed as a runner and start at 10am.

The runners race starts as a mass start, on the field over the bridge, at 10am.

The Country Code

The route crosses private land and entrants are respectfully requested to keep to the footpaths and to honour The Country Code.

Emergency Contact

You must provide an emergency (mobile phone) telephone number so that we can contact you during the event and you can contact us if you experience a problem. TheĀ  contact numbers will be clearly stated on the race information.

Data Protection

Your personal data will be stored electronically for the purposes of race administration. This information may be used to inform you of the details of future events. Your information will not be disclosed to any other organisations. Your name, age category, running club and finishing time may published on the Grindleford Gallop Website and in the local and national press.
